Office Administrator (Tucson)

The Office Administrator provides support for the company’s overall general office operations. This position also works closely with other team members and under direct supervision of President.
Duties & Responsibilities:

 Maintains highly organized work environment, understands importance of time management, and communicates in a clear, concise and effective manner
 Understands intercompany and client billing process workflow, importance of timely and accurate billing documentation, and the effects of timeliness on revenue management.
 Assist with various office duties such as emailing, faxing, filing organizing electronic documents etc.
 Prepare weekly production reports for President..
 Displays first-rate customer service skills – maintains a positive attitude and always willing to offer a helping hand to other team members
 Working knowledge of Microsoft Excel, Word and Outlook
 Ability to work independently, as well as part of a team.
 Inputting daily data into Practice Management. Onboarding of all new clients
 On boarding of new employees, File tracking and forms.
 Greets visitors, answer, screen and transfer inbound phone calls.
 Maintain the client meeting schedule and prepare reports for weekly staff meetings.
 Maintain office supply inventories..
 Maintain professional appearance of offices common areas including conference room and kitchen.
 Coordinate sending cards to clients, etc (e.g., birthday cards, holiday cards, etc.).
 Understand and adhere to organization and policies for quality, confidentiality, and data privacy

-Minimum Associates Degree or 3 years of Office Experience
-Experience with Thomson Reuters Suite (Practice, File Cabinet, UltraTax) a plus but not required.
